Part-Time Remote Home Study Coordinator

About Adoption & Beyond
Adoption & Beyond is a Hague-accredited non-profit child placement agency founded in 1998 and dual-licensed in Kansas and Missouri. We are a small, mission-driven team committed to ethical adoption practices, radical transparency, and walking alongside families and birth parents with warmth and integrity. We are now hiring a Part-Time Remote Home Study Coordinator to support our growing home study program.
About the Role
The Home Study Coordinator is the organizational backbone of our home study process, supporting families who are working to welcome a child into their home. This role keeps cases moving, families on track, and our case workers focused on the in-person work they do best. You will manage administrative tasks, client communication, and deadline tracking across multiple active cases at the same time, working in close coordination with our Adoption Coordinator from intake through case closure.
This position is fully remote, 20 hours per week, non-exempt, and reports to the Adoption Coordinator.
What You Will Do
Case and Document Management
- Track and manage multiple families simultaneously through each stage of the home study and post-supervision process
- Monitor required documents, follow up on outstanding items, and maintain accurate digital case files
- Ensure files meet Kansas and Missouri licensing requirements and agency policy
- Assign due dates to case workers and typists, and follow up to ensure deadlines are met
- Review completed reports for accuracy before routing to families
Communication and Client Support
- Serve as the primary point of contact with families, responding promptly and compassionately to questions throughout the process
- Answer incoming calls through our agency VoIP soft phone app
- Provide prospective clients with information about the application process and agency services
Financial and Administrative Support
- Track client payments and ensure families have paid for each stage before advancing
- Assist with onboarding new staff or interns and support the Executive Director with administrative projects as needed
Coordination and Workflow
- Manage the family report review process, including obtaining signed statements of accuracy
- Coordinate with international agencies on proofreading and document signatures
- Notify the Adoption Coordinator when gifts need to be sent out to families
Who We Are Looking For
The right person for this role is exceptionally detail-oriented, warm and patient with families who are building their families, and able to juggle multiple cases at one time while understanding the urgency of every deadline, especially when children are waiting to come home. You are a proactive communicator who chases deadlines instead of waiting on them, and you find genuine satisfaction in keeping things organized and moving forward.
You will thrive here if you are:
- Highly organized, with a track record of managing many moving pieces without dropping any
- A warm and compassionate communicator on the phone, by email, and in writing
- Comfortable with technology, including client portals, email, calendar systems, and a soft phone app
- Discreet and trustworthy with sensitive personal, medical, and financial information
- Self-motivated and able to manage your own time well in a remote environment
Education and Experience
A high school diploma or GED is required. A college degree is not required. A background in social services is a wonderful bonus, but a social work degree is not required for this position. Experience in any of the following areas may translate well: case coordination, transaction coordination, medical office management, executive or administrative assistance, or any role that involved managing multiple clients with detail, warmth, and accountability.
Compensation and Schedule
- $20 to $23 per hour, depending on experience
